Understanding Your Dashboard

Learn how to navigate and use your ClientSynq customer portal dashboard to manage clients, invoices, and payments.

Overview

The Customer Portal Dashboard is your command center for managing client relationships, tracking invoices, and monitoring payments. When you log in to ClientSynq, the dashboard is the first thing you see.

Accessing Your Dashboard

  1. Go to clientsynq.com
  2. Click Sign In
  3. Log in with your credentials
  4. You'll arrive at the dashboard automatically

Dashboard Layout

The dashboard is organized into several key sections:

Navigation Sidebar (Left)

Your main navigation menu includes:

  • Dashboard - Overview and quick stats (you are here)
  • Clients - View and manage all your clients
  • QuickBooks - Connection status and sync settings
  • Settings - Account settings, branding, payment configuration
  • Billing - Your subscription and payment information
  • Team (Pro/Enterprise) - Manage team members

Tip: The sidebar collapses on mobile devices - tap the menu icon to access it.

Header Bar (Top)

  • Organization name - Your current organization (if you belong to multiple)
  • User menu - Access account settings and sign out
  • Help button - Quick access to support and help articles

Dashboard Sections

1. Welcome Banner

At the top of your dashboard, you'll see:

  • Personalized greeting with your name
  • Current subscription plan (Basic, Pro, or Enterprise)
  • Quick status indicators

QuickBooks Connection Status:

  • Connected - Green checkmark, all systems go
  • ⚠️ Authorization Expired - Yellow warning, click to reconnect
  • Not Connected - Red alert, click to connect

Action: Click the status banner to go to QuickBooks settings if there's an issue.

2. Key Metrics Cards

Quick stats at a glance:

Total Clients

  • How many clients you have in ClientSynq
  • Synced from your QuickBooks customer list
  • Click to view: Goes to Clients page

Active Clients

  • Clients who have been invited and have portal access
  • Shows percentage of total clients
  • Action: Low percentage? Start inviting more clients!

Outstanding Invoices

  • Number of unpaid invoices across all clients
  • Total dollar amount outstanding
  • Click to view: Opens invoice list in QuickBooks

Recent Payments (Pro Plan)

  • Payments received in last 30 days
  • Only shown if payment processing is enabled
  • Click to view: Payment activity log

What do these numbers mean?

  • High outstanding invoices - Consider sending reminders or enabling online payments
  • Low active clients - Send more portal invitations to improve client engagement
  • Recent payments - Track cash flow and payment trends

3. Quick Actions

Common tasks you can perform right from the dashboard:

Invite Clients

  • Quickly send portal invitations to clients
  • Select multiple clients at once
  • See who hasn't been invited yet

Sync QuickBooks

  • Manually trigger a sync with QuickBooks
  • Updates customers, invoices, and payments
  • Usually takes 1-2 minutes

Connect QuickBooks (if not connected)

  • One-click connection to QuickBooks Online
  • Secure OAuth authorization
  • Required to use ClientSynq features

View All Clients

  • Jump directly to your client list
  • Search, filter, and manage clients

4. Recent Activity Feed

See what's happening with your clients:

Activity types:

  • 📧 Invitation sent - Client received portal invitation
  • Client activated - Client accessed portal for first time
  • 👁️ Invoice viewed - Client viewed an invoice in portal
  • 💳 Payment received - Client paid an invoice online
  • 🔄 Sync completed - QuickBooks data synced successfully

Why is this useful?

  • Track client engagement
  • See who's viewing invoices (but not paying)
  • Monitor payment activity in real-time
  • Identify clients who need follow-up

Time range: Shows last 30 days of activity by default


5. Getting Started Checklist (New Users)

If you're new to ClientSynq, you'll see a helpful checklist:

Setup steps:

  1. ✅ Connect QuickBooks
  2. ⬜ Invite your first client
  3. ⬜ Configure payment settings (Pro plan)
  4. ⬜ Customize branding (Pro plan)

Progress bar: Shows completion percentage

Hide checklist: Click "Dismiss" once you're comfortable with the platform

Using the Dashboard Effectively

Daily Check-In (5 minutes)

  1. Check QuickBooks status - Make sure connection is active
  2. Review key metrics - Any concerning trends?
  3. Scan activity feed - Who viewed invoices? Any payments?
  4. Follow up - Reach out to clients who viewed but didn't pay

Weekly Tasks

  1. Invite new clients - Send portal invitations to recent customers
  2. Review outstanding invoices - Follow up on overdue payments
  3. Sync QuickBooks - Ensure data is current (or rely on automatic sync)

Monthly Review

  1. Analyze metrics trends - Are more clients activating?
  2. Review payment activity - Is online payment adoption increasing?
  3. Update branding - Refresh for seasonal campaigns (Pro plan)
  4. Audit team access - Remove inactive team members (Pro/Enterprise)

Dashboard Tips & Tricks

Customize Your View

Rearrange cards (coming soon):

  • Drag and drop metric cards to reorder
  • Hide cards you don't need
  • Customize dashboard layout

Filter activity feed:

  • Click activity type icons to filter
  • Show only payments, only invitations, etc.
  • Search by client name

Keyboard Shortcuts

  • D - Go to Dashboard (from anywhere)
  • C - Go to Clients
  • S - Go to Settings
  • / - Open search

Tip: Hover over sidebar items to see keyboard shortcuts!

Quick Search

  • Click the search icon (top right)
  • Or press / key
  • Search for clients, invoices, or help articles
  • Results appear instantly

Troubleshooting Common Issues

"No data showing on dashboard"

Possible causes:

  1. QuickBooks not connected
  2. No customers in QuickBooks yet
  3. Recent sync failed

Solutions:

  1. Check QuickBooks connection status (top banner)
  2. Click "Sync Now" to force a data refresh
  3. Verify you have customers in QuickBooks Online

"Metrics seem incorrect"

Why this happens:

  • Data syncs hourly, may be slightly outdated
  • Recent changes in QuickBooks not yet reflected

Fix:

  • Click "Sync Now" in Quick Actions
  • Wait 2-3 minutes for sync to complete
  • Refresh your browser

"Activity feed is empty"

Normal if:

  • You just signed up (no activity yet)
  • Clients haven't accessed portal yet
  • Activity is older than 30 days (outside default view)

To populate:

  • Send client invitations
  • Wait for clients to access portal
  • Activity will start appearing automatically

"Can't see Pro/Enterprise features"

Check:

  • Settings → Billing → View your current plan
  • Upgrade if you're on Basic plan
  • Some features require additional setup (payment processing, team invitations)

Dashboard Performance

Load Times

Expected:

  • Initial load: 1-2 seconds
  • Metrics refresh: Instant
  • Activity feed: 1-2 seconds

If slow:

  • Check your internet connection
  • Clear browser cache
  • Try a different browser
  • Disable browser extensions temporarily

Data Freshness

Automatic sync:

  • QuickBooks data syncs every hour
  • Payments sync in real-time (Pro plan)
  • Activity feed updates every 5 minutes

Manual sync:

  • Click "Sync Now" for immediate refresh
  • Use when you know data changed in QuickBooks
  • Limit to 1-2 times per hour (API rate limits)

Mobile Experience

Dashboard on Mobile

The dashboard is fully responsive and works great on mobile:

Mobile optimizations:

  • Sidebar collapses into hamburger menu
  • Metric cards stack vertically
  • Touch-friendly buttons and links
  • Swipe gestures for navigation

Best practices:

  • Use landscape mode for better view
  • Bookmark dashboard for quick access
  • Enable notifications for payment alerts (Pro plan)

Mobile Apps

Currently: Web-based only (works in mobile browsers)

Coming soon: Native iOS and Android apps


Customization Options

Pro Plan Customization

Branding affects dashboard:

  • Your logo in top left
  • Your brand colors in header
  • Custom domain (if configured)

To customize:

  1. Go to Settings → Branding
  2. Upload logo
  3. Set brand colors
  4. Changes apply immediately

Enterprise Plan Customization

Additional options:

  • White-label (remove ClientSynq branding)
  • Custom dashboard widgets
  • API integration for custom data
  • Embedded analytics

Dashboard vs. Client Portal

Important distinction:

Your Dashboard (Customer Portal):

  • Where YOU manage your business
  • See all clients, invoices, settings
  • Admin and management tools

Client Portal:

  • Where YOUR CLIENTS see their data
  • Each client only sees their own invoices
  • Simplified view for customers

Access:

  • You: Log in to ClientSynq normally
  • Clients: Use invitation link from email
