Customizing Your Portal Branding (Pro Plan)
Make the client portal look like your business with custom logos, colors, and branding options.
Overview
With Pro or Enterprise plan branding, you can:
- Upload your company logo
- Set your brand colors
- Customize the portal appearance
- Make emails match your brand
Why this matters: Clients see your brand, not generic ClientSynq branding, creating a more professional experience.
What Gets Branded
Logo Appears On:
- ✅ Client portal header
- ✅ Invitation emails
- ✅ Invoice views
- ✅ Payment receipts (if custom logo is uploaded)
Brand Colors Apply To:
- ✅ Portal header background
- ✅ Buttons and links
- ✅ Email headers
- ✅ Accent elements
White Label (Enterprise Only):
- ✅ Complete removal of "Powered by ClientSynq"
- ✅ Custom domain (portal.yourcompany.com)
- ✅ Fully branded experience
Step 1: Upload Your Logo
Logo Requirements
File format: PNG or SVG (PNG recommended) Size: 200-400px wide Background: Transparent preferred Aspect ratio: Horizontal logos work best
Tips:
- Use your main company logo
- Make sure it's readable at small sizes
- White or light logos need dark background (see color settings)
Upload Process
- Log in to ClientSynq
- Go to Settings → Branding
- Click Upload Logo
- Select your logo file
- Preview how it looks
- Click Save
Preview: You'll see how your logo appears in the portal before saving.
Step 2: Set Brand Colors
Primary Color
Your main brand color - used for:
- Portal header background
- Primary buttons
- Links
- Email headers
How to choose:
- Settings → Branding → Primary Color
- Use the color picker
- Or enter hex code (e.g.,
#2CA01C) - Preview the result
- Save
Tips:
- Use your main brand color
- Ensure good contrast with white text
- Test readability
Accent Color (Optional)
Secondary color for:
- Hover states
- Secondary buttons
- Highlights
Recommendation: Choose a slightly lighter or darker version of your primary color.
Using Your Brand Colors
Don't know your brand's hex codes?
Method 1: From your website
- Right-click on your website's header
- Select "Inspect" or "Inspect Element"
- Look for
background-colororcolorvalues - Copy the hex code (starts with #)
Method 2: From your logo
- Use a color picker tool like:
- ImageColorPicker.com
- Adobe Color
- ColorZilla browser extension
- Upload your logo
- Click on the color you want
- Copy the hex code
Method 3: Ask your designer
- They should have your brand guide
- Usually includes primary/secondary colors
- Hex codes will be listed
Step 3: Preview Your Branding
Before going live, check how it looks:
Preview in Portal
- Settings → Branding
- Click Preview Portal
- See live preview of how clients will see it
Check:
- ✅ Logo is clear and readable
- ✅ Colors look good together
- ✅ Text is readable on colored backgrounds
- ✅ Buttons are visible
Test Invitation Email
- Send yourself a test invitation
- Check your email
- Verify logo and colors appear correctly
Email clients to test:
- Gmail
- Outlook
- Apple Mail
- Mobile devices
Advanced Branding Options
Custom Domain (Enterprise Plan)
Use your own domain for the portal:
Instead of: clientsynq.com/portal/your-id
Use: portal.yourcompany.com
Setup:
- Contact ClientSynq support for Enterprise upgrade
- Provide your desired subdomain
- Add DNS records (CNAME) we provide
- We'll verify and activate (24-48 hours)
Benefits:
- More professional
- Clients stay on your domain
- Better brand consistency
Remove "Powered by ClientSynq" (Enterprise)
White-label the portal completely:
- No ClientSynq branding anywhere
- Fully your brand
- Available on Enterprise plan only

Branding Best Practices
Logo Design
✅ Do:
- Use high-resolution logo
- Test at small sizes (looks good on mobile?)
- Use transparent background
- Keep it simple (complex logos don't scale well)
❌ Don't:
- Use logos with tiny text (won't be readable)
- Upload low-resolution images (will look blurry)
- Use overly complex designs
- Include taglines (save for full logo, not icon)
Color Selection
✅ Do:
- Use your actual brand colors
- Ensure good contrast (dark color on white, or light color on dark)
- Test with colorblind users in mind
- Keep it consistent with your website
❌ Don't:
- Use colors that are too light (hard to see)
- Choose colors just because they look cool
- Ignore contrast ratios
- Change colors frequently (confuses clients)
Client Communication
When you update branding:
- Let clients know the portal has a new look
- Reassure them it's the same secure portal
- Some might think it's phishing otherwise!

Hi [Client],
We've updated our client portal with our company branding!
You'll now see our logo and colors when you access your invoices.
Same secure portal, just more "us" now!

Troubleshooting
"Logo looks blurry"
Problem: Image resolution too low
Solution:
- Use a larger image (at least 400px wide)
- Export at 2x resolution for retina displays
- Use PNG or SVG format (not JPG)
"Logo is cut off"
Problem: Aspect ratio doesn't fit
Solution:
- Use a more horizontal logo orientation
- Or crop your logo file to remove extra whitespace
- Preview before saving
"Colors don't look right in emails"
Problem: Email clients render colors differently
Solution:
- Test in multiple email clients
- Avoid very light or very dark colors
- Use web-safe colors when possible
"Branding options are greyed out"
Problem: You're on Basic plan
Solution:
- Upgrade to Pro plan for basic branding
- Or Enterprise for white-label options
- Go to Settings → Billing → Upgrade
"Changed branding but clients still see old version"
Problem: Browser cache
Solution:
- Tell clients to refresh their browser (Ctrl+F5 or Cmd+Shift+R)
- Clear browser cache
- Changes are immediate, but cache can delay visibility
