Team members are the people in your business who use ClientSynq with you. You invite them by email from the Team Management page, choose their role, and manage them from the same page.

Before you start
- Team members are part of the Pro or Enterprise plan. On Basic, only the owner can use ClientSynq, and the Team Management page shows an upgrade prompt instead.
- Pro and Enterprise have no limit on the number of team members.
- You need the View Team permission to open the page (Roles page, Team Management group). Sending an invitation needs the owner, the Administrator role, or a role with Invite Members; anyone else sees "Only an owner or administrator can invite team members". Changing someone's role needs Assign Roles. The owner always has every permission.
- Set up your roles first if the built-in ones do not fit. See Create roles and set permissions.
Invite someone
- Open Settings (under your name, bottom left of the sidebar), then Team & Roles.
- In Invite Team Member, type the person's email address.
- Optional: pick a role in Select role (optional). The Owner role is not in the list. Only the owner can invite someone as Owner.
- Click Send Invite.
You see Invitation sent to followed by the address, and the invitation appears under Pending Invitations.
If you do not pick a role, the person joins with the Team Member role. You can change it after they join (see Change a member's role).
What the invited person does
- They get an email with the subject "You're invited to join your company's team" and an Open invitation button.
- The button opens a sign-up page titled Join your company's Team. They create an account, or sign in if they already have one.
- They must use the same email address the invitation was sent to. If the email does not match, they are not added to your organization.
- Once they are signed in, they are added to your team with the role you picked (or Team Member) and land on the dashboard.
Invitation links look like /i/ followed by a short code. A link works for 7 days. After that, or after you revoke it, the link opens the ClientSynq home page instead of the sign-up page.
Resend or revoke an invitation
Pending invitations are listed under Pending Invitations with the date they were sent. Expired invitations are not listed.
- Resend emails the same link again. It does not extend the 7 days.
- Revoke cancels the invitation after you confirm. The link stops working.
To give someone a fresh 7-day link, invite the same address again. The new invitation replaces the old one, and the old link stops working.
Change a member's role
Each member has one role.
- In Team Members, click the pencil icon (Edit roles) next to the person.
- In Assign Role, click the role you want.
The new role replaces the old one, and you see Role assigned successfully. You cannot change your own role or the owner's role here. The Owner role is not offered, and only the owner can grant it.
Set a home market
If your organization runs markets, each member row has a Home market menu. Pick the member's market, or none. Changing it needs the owner or a role with Edit Members.
The home market is used by dashboard pins that a role gets by default. A default pin set up for "home market" opens on each member's own market. See Choose what each role sees on the dashboard.
Remove a member
- In Team Members, click Remove next to the person.
- Confirm.
The person loses access to your organization right away. Only the owner can remove members. Nobody can remove themselves or the owner.
Good to know
- You cannot invite someone who is already a member. You see User is already a member of this organization.
- If you send many invitations in a short time, you may see Too many invitations sent. Please try again later.
- Team invitations always link to the main ClientSynq site, even if you use your own domain for the client portal.
- Team members are different from clients. To give a client access to their invoices, see Invite clients to your portal.
