A convenience fee adds a percentage to what your client pays online, to help cover processing costs. You set one rate for card payments and one for bank transfers (ACH). ClientSynq bills the fee to the client on its own QuickBooks invoice.
Before you start
- Pro or Enterprise plan.
- Online payments must be turned on. See Turn on online payments.
- Client Payment Settings needs the Edit Settings permission.
- Create a product or service in QuickBooks for the fee, for example a service named "Convenience Fee". See Set up products and services in QuickBooks.
Steps
- Open Settings (under your name, bottom left of the sidebar), then Client Payment Settings.
- In the QuickBooks Integration card, click Sync QuickBooks Items to load your current products and services.
- Choose your fee item in Convenience Fee Item. The list shows each active item as Name (Type). Service, NonInventory, Inventory and Bundle items all work.
- In the Convenience Fees card, turn on Enable Convenience Fees.
- Enter Credit Card Convenience Fee (%) and ACH Convenience Fee (%). Enter a percentage, such as
3for 3%. Enter0for no fee on that method. - Click Save Settings.

If no fee item is chosen, saving fails with "A QuickBooks fee item must be selected before enabling fee forwarding." If QuickBooks has no active items, the card shows No Items Found with Refresh Items and Sync QuickBooks Items buttons.
What happens next
- The fee is the percentage for the method the client picks, applied to the total of the invoices they selected, rounded to the cent. For example, $200.00 of invoices at 3% adds a $6.00 fee.
- On the payment form the client sees Invoice Amount, a Convenience Fee line with the percentage, and Total Amount. The fee changes when they switch between Credit Card and Bank Transfer (ACH).
- After the charge, ClientSynq creates a separate QuickBooks invoice for the fee, for the same customer, using your fee item. Its memo reads "Convenience fee invoice".
- The client's one payment is applied to both their invoices and the fee invoice, so all of them show as paid in QuickBooks.
Good to know
- New settings start at 3.0% for cards and 1.0% for ACH until you change them. Rates can be from 0 to 100%.
- There is one rate per method. Flat fees and per-invoice fees are not available.
- Check the rules for surcharges and convenience fees that apply to you and your card networks before you turn this on.
- If you switch QuickBooks companies, ClientSynq clears the fee item and turns convenience fees off. Choose a fee item from the new company and turn Enable Convenience Fees on again. See Switch to a different QuickBooks company.
