Reclassify Account in the Batch Modify tool finds the transaction lines posted to one or more accounts in QuickBooks. You download them as a CSV, fill in the new account (and, if you like, a new class, customer, vendor, location or description) for the lines you want to move, and upload the file to apply the changes.
Before you start
- You need the Enterprise plan.
- Your role needs the Import to QuickBooks permission (Roles page, QuickBooks Tools group). Without it the page shows Access Denied.
- QuickBooks must be connected.
- Changes cannot be undone from ClientSynq. To reverse a reclassification you run another one. The CSV you download lists each line's current account, class, customer, vendor and location. Keep an unedited copy. It is your record of the original values.
Steps
1. Find the transactions
- In the sidebar, click QuickBooks Online Batch Modify.
- Under Choose Your Update Method, click Reclassify Account.
- Under Source Account, search for and select the account to move lines from. You can select several, or click Select All for every account.
- Under Transaction Types, tick the types to include: Invoices, Sales Receipts, Bills, Expenses, Journal Entries, Credit Memos.
- Set the Date Range (From and To).
- Optionally, under Optional Filters, narrow by Class, Location, Customer or Vendor. Each list also offers Unassigned, for lines with none set.
- Click Find Transactions to Reclassify.

2. Download and edit the CSV
Reclassify Preview shows the number of Transactions, the Line Items to Reclassify and the Total Amount, and lists each transaction with its type, number, date, customer or vendor, amount and lines affected. If nothing matches, you see No Transactions Found. Click Back to Filters to change them.
- Click Download CSV. The page moves to Upload Modified CSV.
- Open the file. Each row is one transaction line. The
Current…columns show today's values. - For each line you want to move, enter the QuickBooks account ID in NewAccountId. You can also fill NewDescription, NewClassId, NewCustomerId, NewVendorId or NewLocationId.
- Leave the
New…columns empty on lines you do not want to change. - Use IDs, not names. The bottom of the file lists the available accounts, classes, locations, customers and vendors with their IDs. Do not edit below the line "AVAILABLE ACCOUNTS REFERENCE (do not edit below this line)".
- Save the file as CSV.
3. Upload and apply
- On Upload Modified CSV, click the upload area and choose your file. The page shows how many line items will be reclassified and a Changes Preview of the first 20.
- Click Execute Reclassification.
- Review the summary Reclassify N line items in QuickBooks (line items changed and transactions touched) and click Reclassify N line items. Above 50 line items, you must also type the count and tick a statement. See Confirm a large change.
If you need the file again, click Re-download CSV.
What happens next
- Each changed line is updated in QuickBooks Online immediately. A results page shows the successful and failed updates, with the reason for each failure.
- If any
New…column holds an ID that does not exist in QuickBooks, nothing is changed. You see Reclassification blocked — invalid references with a table of each field, bad value, transaction ID and line ID. Correct the file and upload it again. - ClientSynq does not email your clients.
Good to know
- Reclassification cannot be undone from ClientSynq. To move lines back, run Reclassify Account again using the original values from your unedited download.
- You can find account IDs in the reference section of the downloaded file.
